This policy explains what information Turner Operations holds, why, who it is shared with, and how it is protected — including information from QuickBooks Online.
Turner Operations is the operations software Turner Piping & Refrigeration ("Turner", "we", "us") uses to run its own business. It covers turnerops.app, turnerparts.app and the public service request form. We do not sell information, show advertising, or use tracking cookies or analytics.
1. What we collect
People with an account (Turner staff)
- Account details: name, work email, role and permissions.
- Work records: schedules, hours and time off, visit and daily reports, inspection results, photos, notes, parts used and requested, receipts and purchase orders, truck mileage and stock.
- Payroll details for office staff who run payroll: pay rates and hours.
Customers and their sites
- Business names, site addresses, contact names, phone numbers and emails, equipment details and service history, quotes, invoices and payments.
- The name of a customer representative who signs for completed work, and their signature.
Service request form
- Who is asking, the store or site, a contact name, phone and email, a work order number if you have one, and a description of the problem.
Technical information
- Sign-in records and basic request logs (time, IP address, browser) kept by our hosting and database providers for security and troubleshooting.
Turner Operations does not ask for your device's location. Weather forecasts are looked up for a job site's address, not for where you are.
2. QuickBooks Online data
When a Turner administrator connects Turner's QuickBooks Online company, Turner Operations uses Intuit's QuickBooks Online Accounting API with the permissions approved on Intuit's consent screen.
| What | Why |
|---|---|
| Customers and vendors | So invoices, bills and purchase orders use the same names, addresses and terms as our books. |
| Products and services, accounts, classes and terms | So each invoice and bill line posts to the right item and account. |
| Invoices, bills, vendor credits and payments | To record the work we invoice and the purchases we make, and to show what has been billed and paid. |
| Company name and ID | To confirm which QuickBooks company is connected. |
- Only for Turner's own books. QuickBooks data is used only to keep Turner Operations and Turner's QuickBooks Online company in step. It is never sold, used for advertising, or shared outside the providers listed below.
- Connection keys stay on our server. The access and refresh keys Intuit issues are stored only on our server, encrypted, and are never sent to a web browser.
- Who sees it. Inside Turner Operations, accounting figures are limited to office staff; field technicians never see prices, costs or payroll.
- Disconnecting. Disconnect from Turner Operations (Jobs → QuickBooks) or from QuickBooks Online (Settings → Apps). We then stop requesting data and delete the stored keys. You can also ask us to delete QuickBooks data copied into Turner Operations, except records we must keep for tax or legal reasons.
3. How we use information
- To schedule and carry out service and project work, and to answer service requests.
- To order and track parts, keep truck stock, and manage our vehicles.
- To prepare quotes, invoices and reports for our customers, and to keep our accounting records.
- To run payroll and keep employment records.
- To keep the system secure, fix problems, and meet legal, tax and safety duties.
- To help write and summarize text (for example, tidying invoice wording or summarizing an asset's history) using an AI service, described below. These are drafts a person reviews.
4. Who we share it with
We share information only with the providers that run Turner Operations for us, with our customers for their own work and invoices, and when the law requires it. Our providers:
| Provider | What it does for us |
|---|---|
| Supabase | Database, sign-in and file storage |
| Netlify | Hosting for the websites |
| Intuit (QuickBooks Online) | Accounting, once connected |
| BuildOps | Our field-service system; we read job, visit, timesheet and invoice records from it |
| Resend | Sending email (invoices, reports, notifications) |
| Google Workspace | Our company email |
| Anthropic | AI writing and summarizing help; the text sent is processed to return a draft |
| U.S. National Weather Service | Forecasts for job-site locations |
| U.S. Energy Information Administration | Published fuel prices |
| Google Fonts, cdnjs, jsDelivr, esm.sh | Fonts and code libraries the pages load (these see your IP address, like any website) |
5. Your browser and device
We do not use cookies for tracking or advertising. Signed-in pages keep your sign-in session and a few preferences (such as which menu groups are folded) in your browser's own storage. The Parts app may save a copy of its pages on your phone so it opens without signal; it never stores customer or stock data offline beyond unsent drafts you are working on, such as photos for a daily report or the answers on a PM form.
6. How we protect it
- All connections use HTTPS.
- Access is enforced in the database itself, by role: an account can only read and change what its role allows, and the public request form can reach nothing else.
- Passwords and secret keys (including QuickBooks connection keys) are kept on the server, never in the pages.
- Our providers encrypt stored data and keep backups.
No system is perfectly secure. If we learn of a breach affecting your information, we will tell you and the authorities as the law requires.
7. How long we keep it
We keep business records — jobs, invoices, payroll, purchase and tax records — for as long as the law and our accountants require, generally at least seven years. Account access ends when someone leaves Turner. Service requests are kept as part of the customer's service history. Draft photos stored on a phone are removed once the report is sent.
8. Your choices
You can ask to see, correct or delete information about you. We will do so unless we must keep it for legal, tax or safety reasons, and we will explain if so. Contact us below.
9. Children
Turner Operations is for businesses and their staff. It is not meant for children under 16, and we do not knowingly collect their information.
10. Changes
We may update this policy. The date at the top shows the latest version, and we will tell account holders about important changes.
